# AI workspaces for HOA and community association law firms

Every association. Every matter. Your way of working.

The demand queue is moving. A board needs advice. A colleague needs the history. We build AI workspaces that bring the work together—shaped around your firm, and personal to the people doing it.

Thoughtspan builds custom AI workspaces with hands-on implementation for HOA law firms. The website walkthrough uses fictional associations and records; it illustrates workflow design and does not send correspondence, file documents or make legal decisions.

## Demand pipelines

### Intake

Start with a file your team can work from. Organize the manager’s packet by association, account and matter. Keep missing inputs visible before the file moves forward.

Sample: Cedar Hollow — Architectural request. Waiting on records; with Intake team.

- Received: Manager’s request and declaration
- Still needed: Complete application and amendment record
- Next action: Request the missing documents

### Source checks

Surface the exception before it becomes a draft. Put source figures and later updates together. Give your team a clear place to resolve discrepancies and record what still needs review.

Sample: Willow Bend — Collection matter · WB-104. Payment needs review; with Assigned paralegal.

- Received: Account statement and later payment receipt
- Still needed: Updated ledger and payment allocation
- Next action: Review the source discrepancy

### Draft preparation

Carry the matter’s context into the first draft. Build around your firm’s templates, association documents and reviewed source material. Keep open questions beside the draft.

Sample: Willow Bend — Collection matter · WB-104. Draft on hold; with Assigned paralegal.

- Available: Firm template and source packet
- Open issue: A later receipt is absent from the statement
- Next action: Resolve the figures before drafting

### Attorney review

Make the decision easy to inspect. Bring the proposed wording, supporting records and unresolved items into the handoff. Attorneys can see what changed and what needs a decision.

Sample: Willow Bend — Collection matter · WB-104. Changes requested; with Supervising attorney.

- Review item: Source figures do not yet agree
- Requested revision: Confirm the payment and update the ledger
- Next action: Return a specific request to the preparer

### Approved next step

Let your process define what happens next. Track an approved action, its owner and the record it depends on. Add later-stage modules where they fit your practice.

Sample: Cedar Hollow — Architectural request. Records request approved; with Assigned paralegal.

- Approved action: Request the complete supporting record
- Still open: Document status and final advice
- Next action: Prepare the manager follow-up

## Associations and matters

Cedar Hollow’s architectural request connects the association’s people, governing documents and prior advice. The open question is which document version applies. Willow Bend’s collection matter connects the account statement and a later payment receipt. The sample team needs to reconcile the record, obtain an updated ledger and confirm allocation before revising the draft. A newer number alone does not establish what can be demanded; legal determinations stay with the firm.

## Review and handoff

Sample attorney feedback: “Please reconcile the later payment, attach the updated ledger, and bring the revised draft back for review.” The paralegal’s next step includes confirming allocation, requesting the updated ledger and returning the draft and source packet. The interactive website reveals this sample assignment; it saves no task.

## Modular by design

### Demand pipelines

A shared view from intake to source checks, preparation and attorney review. Shape queues, exceptions and handoffs around the way your firm moves a file.

### Associations & matters

Connect each association’s contacts, governing documents, active matters and prior advice. Open the file with the history already in reach.

### Governing documents

Bring declarations, amendments and policies into the same review. Compare supplied versions, inspect source excerpts and keep unresolved questions visible.

### Draft & review

Prepare correspondence from the matter’s context and your firm’s guidance. Review proposed changes before accepting them into the draft.

### Case preparation

Organize the chronology, source records, discrepancies and outstanding evidence into a packet your team can review together.

### Meetings & follow-through

Walk into a board or manager call with the background. Review the takeaways afterward and route agreed next steps to the right person and matter.

Your firm’s process becomes the brief. New needs become new modules.

## Personal to your people

### For the attorney

Your judgment. Your preparation. Bring the relevant history, source questions and draft changes into your review. Personal preparation can sit alongside the shared matter context.

What needs my decision?

### For the paralegal

A clear next step. A useful handoff. Know what is missing, what changed and what the attorney needs next. Carry the record forward with the work you prepare.

What makes this ready for review?

### For firm leadership

A view across the work. Build a shared picture of queues, ownership and exceptions. Start with one useful workflow, then extend it across the people and matters it serves.

Where does the team need help?

We define personal context, association and matter knowledge, access and handoffs during implementation.

## Inside Thoughtspan Desktop

The page includes two actual Desktop screenshots with fictional records and presentation adjustments: Associations & Matters and Governing Documents. They show contacts, prior advice, source conflicts, missing evidence and review actions. The images are previews, not live connected accounts.

## Implementation

Start with one recurring HOA workflow and the people doing it. We discuss your needs and budget, build sample modules for feedback, and agree a focused first implementation.

1. Learn the real process: inputs, templates, exceptions, review steps and current tools.
2. Build sample modules for attorneys and staff to react to.
3. Agree scope, access and integrations; validate the first workflow and expand based on usefulness.

## Questions

### How do we start if a larger legal AI investment feels out of reach?

Start with one recurring HOA workflow: demand preparation, association context or a review handoff. We discuss your needs and budget, then agree the scope and price of a useful first implementation. You can evaluate that work before deciding whether to expand across the firm.

### What does Thoughtspan build for HOA law firms?

We build custom AI workspaces and modules around a firm’s actual work. Starting points include demand pipelines, associations and matters, governing-document review, drafting, case preparation and meeting follow-through. We learn your process, build sample modules with your people, and agree the implementation scope together.

### Can the demand pipeline include liens and later-stage work?

Yes, later-stage preparation can be scoped into the workflow, including lien-related correspondence, litigation preparation and review packets. Your firm defines the stages, required inputs and approvals. Jurisdiction-specific requirements and any sending, filing or verification connections must be separately scoped and validated.

### How do personal workspaces fit with shared associations and matters?

An attorney’s preparation and a paralegal’s queue can draw on the shared matter context while presenting the work each person needs. We define personal context, shared knowledge, access and handoffs with your firm during implementation.

### Does this replace our case-management system?

The starting point is your current workflow and tools. We identify where a custom workspace would help and agree how information should move. Any case-management, document, email or data connection is confirmed and validated during scoping.

### Who approves a draft or next action?

Your firm defines the review and approval process. The workspace is designed to prepare material and make source questions and proposed changes reviewable. The examples on this page are illustrative; they do not send correspondence, file documents or make legal decisions.

### How do we start?

Show us one recurring workflow and the people involved. We learn the inputs, templates, exceptions and review steps, then build sample modules for feedback. We agree a practical first implementation and expand based on what your team finds useful. Engagements can be onsite or remote.
